Job Vacancy at Bidvest International Logistics of Admin Clerk
The Admin Clerk is responsible for ensuring that all document processing and filing for customers adhere to BidvestIL Standard Operating Procedures. This role also involves handling various finance administrative tasks under the guidance of superiors.
Key Responsibilities
Receipts:
- Receive and document various types of documentation, such as MSDS, packing lists, return notes, and delivery notes.
- Scan and file all relevant documentation daily, keeping originals on file.
- Generate receipts in CW1, print pallet IDs, and provide them to the putaway operator.
- Capture and file bin verifications.
- Complete the capturing process on CW1 and finalize the receipt.
- Forward receiving documentation to clients requesting ASN documents for inbound purposes.
- Ensure timely communication to all relevant personnel (Huawei and office staff).
Despatches:
- Verify the receipt of all necessary documents before cargo dispatch.
- Ensure the accuracy of documents for cargo dispatch.
- Enter dispatch notifications into the daily workload.
- Capture all relevant information from the client’s delivery note into ISC or CW1, including DN number, product code, quantity, and required date.
- Submit the picking slip to the ops supervisor for picking and communicate the dispatch date.
- Verify that all cargo is accurately picked, signed by the picker and supervisor.
- Compile dispatch documents, cross-check physical stock with the delivery note, and place documents in the outbound tray.
- Notify superiors of any deviations and discrepancies.
- Ensure timely communication to all relevant personnel (Huawei and office staff).
Billing:
- Update billing daily, including receipts and dispatches.
Inventory Management:
- Maintain and update daily stock reports.
- Investigate and document all variances thoroughly.
- Communicate all variances to clients and management.
- Ensure operator-conducted verifications and counts are accurate.
- Reconcile physical counts with system figures.
- Conduct monthly stock counts for all clients.
- Properly file all documentation.
- Regularly perform cycle and stock counts with Huawei staff.
Maintenance of the Warehouse Management System:
- Timely update bin-to-bin transfers on the system, including grouping and item management.
Qualifications and Experience Education:
- Matric level of education.
Experience:
- 1-2 years of experience in a related field (experience in warehousing is an added advantage).
- Strong accounting and administration skills with attention to detail.
- Customer service experience.
- Exposure to ISO and OHSAS systems.
- WMS experience advantageous (CW1, ISC).
- Knowledge of hazardous chemicals and environments.
