Requirements

Duties
The purpose of this position is to provide general clerical support. Record, organise, store, capture and retrieve correspondence, data and data (line function). Maintain registers and statistics. Handle routine inquiries. Make photocopies and receive and send facsimiles.
Distribute documents / packages to stakeholders as needed. Maintain the filing system for the component. Type letters and / or other correspondence when necessary. Maintain the component’s incoming and outgoing document registers. Provide supply chain clerical support services within the component, as well as liaison with internal and external stakeholders regarding procurement of goods and services.
Provide supply chain clerical support services. Obtain quotations and complete procurement forms for the purchase of standard office items. Control the stock of office stationery.
Maintain the component’s asset register. Provide administrative and clerical support services. Keep and maintain a leave register for the component. Maintain the component’s personnel records. Maintain the component’s attendance register. Make arrangements for travel and accommodation. Provide financial administration support services for the component.
Maintain the component’s expenditures. Check the accuracy of subsistence and travel claims made by officials and submit them to the manager for approval. Responsible for the component’s telephone accounts and petty cash.
