Job Purpose

The chosen candidate will play a pivotal role in facilitating and coordinating front office operations, encompassing the reception area, mail management, procurement, scheduling, and facility maintenance. Additionally, they will provide support as an assistant to the Office Administrator. This role also entails overseeing and coordinating office and facility services, while devising and supervising programs to optimize service and equipment utilization.

Key Responsibilities

Operational Duties

  • Warmly welcome and escort Clients/Guests with a genuine smile and eye contact, guiding them to their designated areas and announcing their arrival to the appropriate team members.
  • Address specific Guest needs and requests.
  • Manage incoming calls, providing basic information as necessary.
  • Maintain a safe and clean reception area, including the reception toilet, through housekeeping.
  • Ensure the reception desk’s TV and light are powered off when not in use.
  • Guarantee operational TV during working hours.
  • Assist with clerical receptionist duties like filing, photocopying, binding, faxing, and emailing as needed.
  • Punctuality and adherence to telephone etiquette.

People

  • Self-tracking of performance, and proactively scheduling performance review meetings with the Office Administrator.

Compliance, Risk, and Quality

  • 100% adherence to company policies, health and safety regulations, and relevant laws and regulations.
  • Methodical saving of work, templates, etc., to support independent financial records for each year.
  • Generate high-quality, well-structured, and factual documents with clear and logical content.
  • Chronological saving and backup of documents.

Growth and New Markets/Products

  • Assist with directed projects.
  • Participate in company promotions, functions, and advertising as needed.
  • May be required to wear promotional attire.
  • Take steps to achieve the company’s short-term, medium-term, and long-term goals.

Qualifications and Experience

  • Reception/Office Administration Certificate.
  • Proficiency in MS Office suite.
  • 2-5 years of administrative/clerical experience.
  • 2-5 years of reception and switchboard experience.

  • High integrity, trustworthiness, and reliability.
  • Keen attention to detail while maintaining efficiency.
